Guest Booking Notification Email

Make communicating to your Guests easier and more professional with automated emails.

 

By default, your guest should receive an automated email after they complete your online booking form.

What Should It Say

  •  Firstly the email should acknowledge receipt of your prospective Guest’s enquiry and confirm back to them the dates that they have expressed an interest in.
  • The message in the email should be clear in stating whether the booking is confirmed (if payment has been taken) or subject to confirmation and availability checking by the Owner.
  • The email should provide a contact name and a means of contacting you, The Owner, direct if they have any questions.
  • In the cases of booking enquiries that are subject to manual Owner approval and confirmation, the automated message should also offer a guide as to how long this will take.

Go to OWcal > Emails

Locate the default ‘Customer Notification’ email template

Edit The Existing Template

Click the pencil icon (circled on image below) to make changes to the template

Using Variable Booking data

Notice that variable data – information supplied by your guest – is presented in brackets.

[customer_email] = your guest’s email address for example.
[resa_check_in] = the check-in date.

A full list of these variables that can be included in the template are listed directly underneath the list of Email Templates.

Triggering when the Email should be sent

You will likely want this particular email to be triggered automatically ‘Upon Event’. That event being upon ‘New Reservation (from customers)’

You do have the flexibility to create different letters

Reservation Status

There are three different Reservation Status’ and you could create different letter templates for each one:

‘Paid’ – For Last Minute bookings paid in full
‘Not fully paid’ – For bookings where a deposit has been paid
‘Unpaid’ – For bookings where Instant Payment has not been enabled
